TopData Global IT Solutions ("TopData," "we," "us," or "our") is committed to protecting the privacy and security of your personal information. This policy explains what data we collect when you apply for a position through our careers portal, how we use it, and your rights under the Republic Act No. 10173 — Data Privacy Act of 2012 of the Philippines.

What Personal Data We Collect
When you submit a job application, we collect:
- Identity data — first name, last name
- Contact data — email address, phone number, home address
- Professional data — educational background, LinkedIn URL, availability date, desired salary, references
- Application content — answers to screening questions, resume file
- Technical data — IP address (used solely for spam prevention and rate limiting, not stored beyond the session)
We do not collect sensitive personal information as defined under RA 10173 (e.g., race, religion, health records, political affiliation).

Data Retention
Application data is retained for 90 days (3 months) from the date of submission, after which it is permanently and automatically deleted from our systems — including any uploaded resume files. If you are hired, your data is transferred to your employment record and governed by our employee data policy.
Data Sharing
Your personal data is accessed only by authorised TopData personnel involved in the recruitment process. We do not sell, rent, or share your data with third parties for marketing purposes. Data is not transferred outside the Philippines except where required by the recruitment process and with your knowledge.
Security Measures
- All data is transmitted over HTTPS (TLS encryption)
- Resume files are stored in a private, non-publicly accessible location
- Access to applicant data is restricted to authenticated administrators
- Submission forms are protected by Cloudflare Turnstile and rate limiting
- Data is automatically purged after 90 days
Your Rights
Under RA 10173, you have the right to:
- Be informed — know what data we hold about you
- Access — request a copy of your personal data
- Rectification — correct inaccurate or incomplete data
- Erasure — request deletion of your data before the 90-day retention period
- Object — object to processing of your personal data
- Lodge a complaint — file a complaint with the National Privacy Commission (NPC) at privacy.gov.ph
